By Komodo Cabin Charter Editorial Desk
Booking a Komodo cabin charter safely means working in order: settle your dates and cabin type, find out whether the seller is an agent or the operator, get the boat and cabin named in a written quote, pay a deposit only once the cabin is confirmed, send passport details for park registration, then settle the balance.
The steps below work with any seller, including us. Each one ends with something you should be holding before you move on.
| Step | What you do | What you hold at the end |
|---|---|---|
| 1. Brief | Fix dates, guests, cabin or whole boat, and what you will not accept | A short brief you can send to any seller |
| 2. Seller | Find out who sells and who sails | The operator's name and who handles problems |
| 3. Quote | Ask for boat, cabin, itinerary and price in writing | A quote you can check line by line |
| 4. Deposit | Pay once the cabin is confirmed with the boat | A receipt naming boat, cabin and date |
| 5. Passports | Send details for park registration | Confirmation that names match, then a QR ticket |
| 6. Balance | Recheck everything, then pay the rest | Final itinerary, meeting point and payment record |
What should you settle before asking for a price?
Four decisions, because each one changes which boats are even possible.
Cabin or whole boat. Salam Ransel describes a shared trip as booking a cabin on a boat you share with other travellers, and a private trip as chartering the boat so the group can adjust route and timing. When comparing listings, the quickest tell is the price basis: Komodo Resort uses "boat charter" for a whole-boat hire priced per boat, and a shared trip is sold per person. Our overview of the Komodo cabin charter sets the products out, the cabin and private comparison helps you choose, and the whole-boat guide covers the other route.
Dates, and how far they can move. Each boat keeps its own departure days, by Salam Ransel's account, and Phinisi Trip's 3D2N schedules run either from Friday or from Monday. A fixed date narrows your choice to the boats leaving that day, so say up front whether you can shift by a few days.
Length. Agents disagree on what exists. On Phinisi Trip's range an open trip means 3D2N, and 4D3N means going private. Salam Ransel runs 2D1N on selected boats and also sells a 4D3N trip from Komodo to Lombok. Ask about the boat in front of you, not the market in general. How a cabin charter works explains why the sellers differ.
What you will not accept. One traveller's surprise in a budget cabin, recounted in what to expect in a shared cabin, is why you should write your limits into the first message: no bunks, private bathroom, or whatever matters to you. If anyone in your party has dietary, medical or accessibility needs, raise them early: Neptune Liveaboards wants to hear two weeks or more before sailing and cautions that a liveaboard will not suit every condition.
Are you dealing with an agent or the operator?
Often an agent, and that is a normal way to buy, provided you know who does what. Green Rinjani draws the line plainly: it handles booking and reservation, and the local boat operator runs logistics and decides on itinerary changes in bad weather. So the party who takes your money may not be the party who decides what happens at sea. A Mini Adventures writer favours going direct when a family needs a private cabin, which is one traveller's view and worth testing against an agent's answer.
Komodo Touristic warns of sellers without authorisation who vanish or under-deliver, and steers buyers towards registered sellers with verified boats. Bear in mind that the warning comes from a company that sells these trips itself. Direct questions are your main tool:
- Who operates this boat, and is that you?
- If you are an agent, have you confirmed this date and cabin with the operator?
- Who holds my deposit, and who would refund it? Is the account in the company's name? OpenTripKomodo, a marketplace, warns against any transfer to a personal account.
- Who will register my party for the park?
- Whom do I call on the day if something changes?
Put the same questions to us. We have an interest here, since an enquiry to this desk may finish with a signature for one of our group companies, so hold our paperwork to the standard on this page. Who contracts with you is written in the offer itself, and our disclaimer sets out which company does what.
What should a written quote contain?
Enough that a stranger could read it and name the boat and the cabin. Komodo Resort's guide sets a minimum: the vessel's name, pictures of the real cabins, and both itinerary and price on paper. We would add the rest of this list:
- Boat name, with photos of the cabin you are buying, not the best one on board.
- Cabin type, bed layout, and whether the bathroom is inside the cabin. Our guide to cabin lists shows how to read them.
- Dates and itinerary, with any stop marked tentative. A Komodo Trips open-trip itinerary is itself labelled tentative, and Salam Ransel leaves the captain and guide free to reorder or reroute as the sea demands.
- Price and basis: per person, per cabin or per boat, and in which currency. Published figures are on our cabin charter cost and private phinisi cost pages.
- Inclusions, line by line. Salam Ransel's list makes a usable template: pick-up in Labuan Bajo, a local guide, snorkel gear, drinking water, meals and the cabin itself. Our inclusions comparison sets it against other sellers.
- Exclusions, line by line, with park and ranger charges named.
- Payment dates and methods.
- Cancellation terms, including what happens when weather stops the boat.
- The legal name of the company you are contracting with.
To make sure advertised extras reach your booking, hold the listing beside the quote. If the listing shows a canoe, Wi-Fi or an airport transfer and the quote does not, ask for the line to be added or for a clear answer that it no longer applies. Neptune Liveaboards allots cabins as bookings confirm, with upgrades subject to space, so ask whether "cabin type" on your quote also means a specific cabin. Phrases like "similar boat" deserve a question too, because that is how you end up paying for the wrong one.
After booking, ask for these documents by name: a receipt, a booking confirmation with boat and cabin, the itinerary, the terms you accepted and, later, your park ticket.
When do your passport details matter?
After the cabin is secured and well before departure, and exactness matters more than speed at first. According to Neptune Liveaboards, advance registration through SiOra, the park's booking system, has applied to every visitor since 1 April 2026. Casa de Capulet's guesthouse guide gives the sequence: passport details go from guest to operator, the operator enters them for a chosen date, sites and session, and a QR ticket comes back. It adds that names must match the passport.
Three practical points follow. Copy your name exactly as printed, and check it against what the seller sends back. Tell the operator at once if a passenger changes or a passport is renewed, as Neptune Liveaboards asks, so the registration can be corrected. And understand what a mistake can cost: Dive Komodo's terms make a ticket personal, not transferable and, for now, not refundable by the park authorities. The permits and SiOra page covers the roles in that system.
Send passport details only to the party you have confirmed as handling your registration, and only when they ask for them for that purpose.
What should you confirm before the balance is due?
First, find out who collects it. Terms differ in ways that catch people out. Komodo Trips says the balance is collected on the departure date by the boat organiser, so you may pay someone other than the agent who took your deposit. Dive Komodo wants the park tickets paid in full at the deposit stage. Published shares and dates vary a lot, and our deposit comparison sets them out seller by seller. Salam Ransel will not collect anything until the boat has confirmed the cabin, an order worth asking any seller to match.
Then run this last check, in writing:
- Is the boat still the one named on my quote, and is my cabin unchanged?
- Has the itinerary changed, and has the seller told me why?
- Are all the names registered correctly, and when will the tickets reach me?
- Where and when do I board? Dive Komodo treats a missed departure as a forfeited trip, so get the meeting point and time exactly.
- What am I paying on board or on the island, and in which currency?
- Which safety equipment is on this boat? Our safety checks list what to ask about.
What other questions come up when booking?
Should I pay before my cabin is confirmed?
No. Salam Ransel waits for the boat's confirmation before it takes money, and you can ask any seller to work in that order. If a seller wants money first, ask what the payment actually holds.
Can I book through an agent instead of the operator?
Yes, if you know who is responsible for what. An agent may do no more than take the booking, as Green Rinjani says of itself. Ask an agent to name the operator and to confirm your date and cabin with them.
How can I tell a shared trip from a private charter in a listing?
Check the price basis first. A per-person figure points to a shared trip and a per-boat figure to a charter, the line Komodo Trips' terms also draw. Komodo Resort treats a charter as the whole boat, crew included, for a set period.
When do I send my passport details?
Send them when the party handling your park registration asks for them, after your cabin is secured. Casa de Capulet's account has the operator doing the registering, using the exact name in your passport.
Do I have to book through this site?
No. The method on this page works with any seller. The desk answers questions about a request, and nothing from us binds anyone until there is a written offer you have accepted.
